About the Role

The Office of the Assistant Secretary of Defense for Health Affairs (OASD [HA]) Special Project Support Junior Management Analyst will provide services for the Defense Health Agency (DHA), Military Health System (MHS) Governance program management office. The applicant shall support the MHS Governance process by assisting in management, coordination, and facilitation of MHS Governance Councils / Groups. The applicant will collaborate with government leadership, teammates, and other administrative staff in support of the councils and groups. The applicant should possess a strong work ethic and able to show initiative to learn items related to any given task. Compensation will be commensurate with experience.

Roles and Responsibilities

  • Assist in the development, preparation, editing, collection, and dissemination of briefings, agendas, meeting minutes/summaries, reports, and presentations

  • Assist in developing Plans of Action and Milestones (POA&Ms)

  • Assist in developing and updating Charters, MOA/Memorandum of Understanding (MOU) and Service Level Agreements (SLA), and Concept of Operations (CONOPS)

  • Conduct research and reviews of topic areas to provide up-to-date information to stakeholders when needed

  • Develop briefings, reports, point papers, status updates, and analyses

  • Manage the associated documents including their archiving and storage

  • Collect and track the progress of working groups against their stated objectives and timelines

  • Coordinate correspondence requirements between senior OASD(HA) leaders or other group leads, DHA, HA, Military Surgeons General staff offices, and others as directed, for membership request and appointment letters

  • Develop and monitor program-specific performance metrics

  • Communicate with all leadership, subject matter experts and stakeholders to appropriately collect, address, and disseminate any pertinent correspondence and applicable information

  • Coordinate and schedule meeting facilities that have adequate space and technical support

  • Document, track, and update decisions and actions identified on POA&Ms and other trackers

  • Develop, maintain, and disseminate membership lists and correspondence distribution lists


Qualifications and Education Requirements

  • 5+ years working in MHS or DHA environment or equivalent citizen health system

  • Impeccable attention to detail

  • Excellent written and verbal communication

  • Ability to organize and plan work independently

  • Ability to work in a rapidly changing environment

  • Ability to multi-task and context-switch effectively between different activities and teams

  • Excellent written and verbal communication skills for coordinating across teams

  • A drive to learn and master new technologies and techniques

  • Willingness to adhere to all principles of confidentiality

  • Must operate in a collaborative and cooperative environment

  • Ability to show initiative, good judgment, and resourcefulness

  • Ability to facilitate meetings, prepare presentations/reports, draft/review meeting minutes across the enterprise


Preferred Skills

  • Analytic and administrative experience with Medical Health System (MHS) stakeholders

  • Capture decisions made by MHS Senior Leadership and delegate tasks to the appropriate action

  • Ability to engage subject matter experts to track progress

  • Coordinate with team members to complete tasks and address issues

  • Make recommendations in support of project objectives

  • Exceptional ability to maintain organized and accurate records in teleworking environment

  • Wide-ranging experience analyzing, copyediting, and writing various briefs, client deliverables, funding proposals, presentations, reports, SOPs, and surveys, as well as analyzing and responding to policy and data

  • Proficient in Adobe Acrobat, CRM interfaces, G Suite, MS Office suite, and SurveyMonkey

  • Ability to achieve an Active Public Trust with ability to obtain higher security clearance


Additional Notes

  • This position is on-site at a government installation, the candidate should be comfortable to undergo a background investigation.
